This section explains how to create reports, share photos, and export work from WorkPhotos.

How do I create a report in WorkPhotos?
Reports can be created from any job in both the WorkPhotos mobile app and the web app.
• On the mobile app: Open a job and tap the share icon (bottom-left) to open the job report. From there, you can preview the report or generate a shareable link.
• On the web app: Open a job and click View Report. The report is generated instantly and displayed in your browser.
Do I need to manually build the report?
No. Reports are automatically generated from the photos and information already added to the job.
What is included in a report?
Reports include all photos and messages associated with the job, presented in order, along with relevant job details.
You cannot selectively include or exclude individual photos or messages. Reports always include the full job content.
Can I view a report without sharing it?
Yes. Reports can be previewed in the mobile app or web browser without being shared.
Does creating a report notify anyone?
No. Creating or viewing a report does not send a notification to other users.
However, when a report is viewed via a shared web link, a status message is added to the job timeline (for example, “Job report has been viewed from web”). This message is visible to users viewing the job in the mobile app, but it does not trigger a push notification or alert.
Only sharing a report link makes it accessible to others.
Why can’t a team member see the share icon?
If a team member cannot see the share icon in the mobile app, they do not have permission to create or share reports.
Only the workspace owner can enable this permission.
Permissions can be managed:
• On the web app: via Users in the left-hand menu
• On mobile: via the + Team button
Once permission is granted, the share icon will appear for that user.

How can I share a report?
Reports can be shared using a secure, read-only link.
How do I share a report?
• On the mobile app: Open a job, tap the share icon (bottom-left), then choose Share link.
• On the web app: Open a job, click View Report, then copy or share the report link from your browser.
What access does a shared report give?
Shared reports are read-only. Viewers can see the report content but cannot edit the job, add photos, or leave comments.
Do recipients need a WorkPhotos account?
No. Anyone with the report link can view the report in a web browser.
Can I limit what appears in a shared report?
No. Reports always include all photos and job details associated with the job at the time the report is generated.
Can I see when a report is viewed?
Yes. When a shared report is viewed on the web, a message is added to the job timeline in the mobile app indicating that the report was viewed.

Can I share a single photo directly from WorkPhotos?
No. WorkPhotos does not currently support generating a dedicated share link for an individual photo.
Is there a way to share a single photo anyway?
Yes, but only indirectly via the job report.
To share a single photo:
• Open the job report in a web browser.
• Click the image you want to share to view it at full size.
• Right-click the image and copy or save it from the browser.
This allows you to manually share that specific image outside of WorkPhotos.
Can this be done from the mobile app?
No. Sharing an individual photo this way requires opening the job report in a web browser.
Does sharing a photo this way create a tracked share link?
No. This method does not create a WorkPhotos share link and is not tracked or managed within the app.
Do watermarks apply when sharing individual photos this way?
Yes. The image reflects your workspace plan:
• Free workspaces include a WorkPhotos watermark.
• Paid workspaces have watermarks removed automatically.

WorkPhotos allows you to export photos and reports from a job. Export options differ slightly between the mobile app and the web app.
Exporting photos on the mobile app
Photos can be saved directly from the job view in the app.
To save a single photo:
Open a job
Long-press on a photo
Tap Save to gallery
The photo is saved to your device’s camera roll
To save all photos from a job:
Open a job
Tap a photo to view it
Long-press on the image
Tap Save all images
All photos from the job are saved to your camera roll
There is no option to select individual photos. You can save either one photo at a time or all photos from the job.
Exporting photos on the web app
Photos can be downloaded directly from the job view.
To download a single photo:
Open a job
Hover over a photo
Click the green Download icon that appears on the image
To download all photos:
Open a job
Click Download All in the top-right corner
All photos are downloaded as a single ZIP file
Browser limitations
Web browsers restrict how multiple files can be downloaded automatically. Because of this, bulk photo downloads are provided as a ZIP file instead of downloading many individual images.

Shared reports and images in WorkPhotos are accessed using secure, read-only links.
Once a report link or direct image link is shared, anyone with that link can view the content. At this time, shared links cannot be restricted, revoked, or limited by user, device, or expiry.
For this reason, only share report or image links with people you trust. Workspace permissions control who can create and share reports, but they do not control access after a link has been shared.

Watermarks on shared reports and images follow the same rules as photos stored in your workspace.
For free workspaces, shared reports and images include a WorkPhotos watermark.
For paid workspaces, watermarks are automatically removed from shared content, including reports and images taken before upgrading. No additional configuration is required.

Shared reports in WorkPhotos are accessed using read-only links.
At this time, shared report links:
Do not expire automatically
Cannot be revoked once shared
Cannot be restricted to specific people or email addresses
If a shared link is forwarded, anyone with the link may be able to view the content.
Workspace permissions control who can create and share links, but they do not control access after a link has been shared.
For this reason, only share report links with people you trust.
