TEAM & USER MANAGEMENT
This section explains how to invite team members, manage access, and join a workspace in WorkPhotos.
-
How do I invite team members in the mobile app?
In the WorkPhotos mobile app, open the Jobs list and tap the Team button at the top of the screen. From the Team view, tap Add to invite a new team member.
How can I share an invite from the app?
When inviting from the app, you can share an invite link or display a QR code. Team members can scan the QR code or open the shared link to join the workspace.
What does the QR code do?
The QR code provides a quick way to share an invite in person. Scanning the QR code allows a user to join the workspace, but it does not log them in. They must have or create a WorkPhotos account.
How do I invite team members from the web app?
In the WorkPhotos web app, go to Users from the left-hand menu. Click the invite button in the Users view to send an invitation to a new team member.
Is there a limit to how many team members I can invite?
The number of team members you can invite depends on your workspace plan and team capacity.
-
How do I join a workspace?
Joining a workspace is done using the WorkPhotos mobile app.
Can I join a workspace from the web app?
No. Joining a workspace is not supported in the web app. You must use the WorkPhotos mobile app.
What happens when I open an invite link or scan a QR code?
Opening an invite link or scanning a QR code on a mobile device will take you into the WorkPhotos app.
What if I already have a WorkPhotos account?
If you already have a WorkPhotos account, opening the invite link or scanning the QR code will allow you to join the workspace.
What if I don’t have a WorkPhotos account yet?
If you do not have a WorkPhotos account, you can create one after opening the invite link or scanning the QR code, and then join the workspace.
-
What is the difference between a workspace owner and other users?
All users in a workspace can work on jobs and invite new team members. The workspace owner has a small number of additional permissions.
What can the workspace owner do?
The workspace owner can:
Delete any user’s photos and comments
Remove users from the workspace
What can other users do?
Other users can:
Upload photos and add comments
Delete their own photos and comments
Invite new users to the workspace
Delete jobs
What happens when a job is deleted?
When any user deletes a job, it is moved to Workspace Settings > Trashed Jobs and can be restored later.
Can users manage other users?
Only the workspace owner can remove users from a workspace. All users can invite new users.

How does user access work across devices?
User access in WorkPhotos is tied to individual accounts, not specific devices. You can sign in on multiple devices using the same account, and your workspace access stays in sync.
Can I use the same account on multiple devices?
Yes. You can sign in to the WorkPhotos mobile app and web app on multiple devices using the same login method.
Do Google, Apple, and email logins link automatically?
No. Accounts created using Google sign-in, Apple sign-in, or email/password are treated as separate accounts. They do not automatically link to each other.
What happens if I sign in with a different method?
If you sign in using a different login method (for example, Google instead of email), WorkPhotos will treat this as a different account, even if the email address is the same.
How do I make sure I access the correct workspace?
Always sign in using the same login method you used when you joined the workspace. This ensures you see the correct workspaces and data.
